Human Resources Assistant-FHI 360 -Position Summary:
The Human Resources Assistant will provide operational / administrative support to the Human Resources Department, namely in the organization and updating of the HR file, in the recruitment preparation process, in the administration of benefits, among others.
Key Responsibilities:-Human Resources Assistant-FHI 360
Human Resources Assistant-FHI 360 -Organization of individual processes for all workers, ensuring that they contain all the necessary documents, according to the checklist in force. Ensure that all processes contain the necessary documentation.
Organization and updating of recruitment processes / folders, ensuring that all contain the necessary documents, according to the current checklist.
Organization, cataloging and maintenance of the department’s internal correspondence folders, salary files, project closing folders, performance evaluation, among other folders included in the HR archive.
Digitalization of all individual and recruitment processes and update at the share point.
Support in scheduling interviews and contacting candidates for interviews.
Sending feedback emails to candidates for positions, which were not selected.
Printing the induction material and essential policies in force for signing / sending to workers and collecting signed copies.
Scheduling orientation meetings for new hires and preparing the respective agendas.
Support in collecting information during audits.
Preparation of work certificates for finished employees.
Sending of the Exit Check List to workers whose contracts will end and collection of signed copies, for archiving.
Collect all documents for Health Insurance and Life Insurance, for delivery to the Human Resources Officer, for registration purposes.
Processing and delivery and survey of confidential Human Resources files, as well as consult clarifications from the Relevant Entities, such as Ministry of Labor, INSS, Insurance Companies, etc.
Performing other tasks.
Human Resources Assistant-FHI 360 -REQUIRED QUALIFICATIONS:
Degree in Human Resources, Management or Administration or experience of at least 2 to 3 years in the area of Human Resources.
Experience in Non-Governmental Organizations, may be a preferred factor.
Ability to keep confidential and sensitive information, which you will have access to in the performance of your duties.
Work experience in multicultural environments and understanding of diversity and inclusion.
Computer knowledge from the user’s perspective, namely Word, Excel, PowerPoint, Outloook, etc.
Fluency in the Portuguese language, with a reasonable knowledge of the English language.
Good communication skills and ability to integrate into teams.
Willingness to travel within the country when necessary.
