Job Purpose-Jobs in Malawi-Finance and Support Services Assistant
To support the efficient and smooth running of the Finance, Accounting and Administration functions in the Malawi Country Office
Principal Accountabilities:
Financial administration:
· Timely preparation of payment vouchers and writing and dispatching cheques
· Regular maintaining the cash book
· Periodic data entry of vouchers into GAS, filing vouchers
· Managing the office petty cash
· Receipting cash and cheques from staff for private mileage, telephone and advance returns and subsequent banking
· Handling regular payroll administrative issues such as ensuring that payroll is delivered to the bank once prepared and the necessary statutory cheque payments delivered in a timely manner
· Preparation and submission of timely PAYE & WHT returns to Malawi Revenue Authority
· Preparing monthly Bank reconciliations and Monthly checklist reports to head office
· Assisting FSSM in preparing schedules and providing documents and information to Internal and External Auditors
· Ensuring timely receipt and conduct initial reviews of partners’ financial returns
· Liaising with head office on procurement, partner transfers and centralised payments
· Assisting FSSM during partner financial reviews and audits
· Close monitoring of program funding to ensure compliance to contracts
Office Administration:
· Coordinate renewal of motor vehicle and cycles licences and insurances
· Follow up action on vehicle maintenance
· Procurement of stationery and managing stores for Malawi Country Office
· Initial consultation with Customs and clearing agents for incoming purchases
· Maintenance of office plant and equipment
· Maintaining fixed assets registers that meets the accounting and insurance standards
and ensuring that all new and existing insurable equipment is appropriately and
adequately insured
· Making travel arrangements for Malawi Country Office staff and visitors
· Stand in for FSSM when out of office.
· Receive visitors/ phone messages in the absence of other Malawi country office staff
· Any other task that may be assigned from time to time

Job-holder entry requirements – the essential knowledge, skills and behaviours required
Knowledge (Education and Related Experience):
· Diploma in Accounting (ACCA, CIMA & PAEC) and studying towards Professional level
· Extensive working experience ideally gained in an NGO environment.
· Strong written and oral communication skills and IT skills to include major Microsoft application packages
· Working knowledge of SUN ACCOUNTS preferred
